SCBWI Germany & Austria is pleased to open registration for our Spring Retreat open to all members.

Join us in Radolfzell (Bodensee, Baden-Württemberg) for up to three days of working with fellow creatives.

We are offering a 4day-3nights or 3days-2nights retreat including a Workshop by Melinda Salisbury and the additional option to get manuscript feedback by Melinda (limited availability).

Illustrator Track available for Option 1 and 2: Scrawl Crawl with Sanne in Radolfzell instead of the Workshop.

This retreat will be suitable for both writers and illustrators. Join us at the RIZ – Radolfzeller Innovationszentrum for up to three days and enjoy a workshop by Melinda Salisbury or Scrawl Crawl with Sanne.

The Event:

When:  Timeframe of 4th May 2023 – Sunday, 7th May 2023, depending on the option booked.
Where:  RIZ Radolfzell – Fritz-Reichle-Ring 6a, 78315, Radolfzell am Bodensee, Baden-Württemberg (www.riz.de)


The Options:

Option 1 – The Full Experience  

Costs: 175,- Euro for the 4-Days & 3-Nights Work Intensive Retreat + Workshop
OR Illustrator option without workshop for 130,- Euro

You get to work in a stress-free environment, away from the day-to-day chores and tasks, and join your fellow SCBWI members from Friday morning to Sunday noon in five work sessions AND Melinda Salisbury’s Workshop on Character Development or the Scrawl Crawl with Sanne for Illustrators.
This fee also includes drinks and lunch on Friday (conference flat fee as described below.)

Option 2 – The Weekend Getaway

Costs: 125,- Euro for the 3-Days & 2 Nights Work Weekend
OR Illustrator option without workshop for 80,- Euro

This includes: Attendance on Saturday and Sunday’s work session AND Melinda Salisbury’s workshop on Saturday or the Scrawl Crawl with Sanne for Illustrators.

Option 3 – The Quick Drop-In

Costs: 65,- Euro for attending Melinda Salisbury’s Workshop and the following Q&A from 11:00am to 12:30pm on Saturday.


Our Guest Speaker and the Workshop:

Melinda Salisbury is a four-time Carnegie nominated author, whose first novel The Sin Eater’s Daughter was the bestselling UK YA debut of 2015. Her other books include the sequels to The Sin Eater’s Daughter: The Sleeping Prince, and The Scarecrow Queen, the State of Sorrow duology, Scottish folk-horror novel Hold Back The Tide, Persephone origin story, Her Dark Wings, and in non-fiction, The Way Back Almanac. Melinda has been shortlisted for numerous awards, including the Waterstones Children’s Book Prize, YA Book Prize, and the Branford Boase Award, and Hold Back the Tide was a YALSA 2022 pick. Her books have been published in 15 countries to date. She lives on the East Sussex coast and is a passionate amateur wildlife photographer. Find out more here!

The Workshop – Character Development:

Character Development 101 is a crash-course in everything a writer might want to consider when developing characters for their fiction. Over the course of an hour, we’ll be exploring what character development means, breaking down the composition of characters and how to make readers feel invested in them, examining popular character tropes and how and when to use or subvert them, and character engagement and showing versus telling. This is an interactive workshop, not a lecture or presentation, so please come ready to work, as there will be in-class exercises designed to help you deepen tour understanding of the topics we cover.

Add-on option: Manuscript feedback by Melinda

Melinda has agreed to offer a limited number of Manuscript Feedbacks for attendees of the Retreat. She will review a first chapter or manuscript excerpt up to 3500 words, provide a written response and have a 20-minute 1-on-1 session with you on Saturday, 6th May 2023 in Radolfzell, where she discusses her feedback with you. This offer is valid for MG (Middle Grade) or YA (Young Adult) Manuscripts only. Melinda will not review Picture Book Manuscripts.

Costs: 75,- Euro. If you choose this add-on option, please note: You MUST provide your Manuscript NO LATER than April 18th! The option will appear once you picked a ticket option.


The Schedule in detail:

Thursday, May 4th (STAR WARS DAY!)
7:30pm___Dinner in Radolfzell. We’ll get together for dinner (restaurant #tbd) in town to (re)connect with fellow members and guests.

Friday, May 5th
*for Friday, the event location is offering a flat fee for food/drink during the day for us. Included are: unlimited coffee, tea, water. Morning snack: Butterbrezeln, Croissants, Fruit; Lunch self-service, 4 diff choices; Afternoon: coffee, tea, water, fruit, cake, cookies. Not included are other soft drinks/soda. Those are available, but will be charged by consumption. (We’ll make a list!)

pre 8:30am___Get ready for a day of creative work and make your way to RIZ from your hotel/accommodation.
8:30am – 1:00pm __Work session 1 – everyone grabs a desk and gets to work on their projects. There will be snacks/fruit/coffee between breakfast and lunch break. Water, apple juice spritz, and coffee available in the room.
1:00pm – 2:00pm__Lunch break. We’ll eat at the RIZ. There’s going to be a choice of four different meals. Drinks are not included. After lunch, we’ll head for a quick walk if the weather permits. Oxygen FTW! 😉
2:00pm – 5:30pm __Work session 2 – back to the desks for more work on our projects! There will be more snacks/coffee in the afternoon. Water, apple juice spritz, and coffee available in the room.
6:30/7:00pm___Dinner in Radolfzell. We’ll get together for dinner (restaurant #tbd) in town. Fellow members who will join us for the 2-day retreat are invited to join!

Saturday, May 6th

*for the weekend, the location could not offer any flat fees for drinks/snacks. There will be soft drinks/soda/coffee and snacks available, but pay as we consume, not a flat fee. (There’s unlimited tea!)

pre 8:30am___Get ready for a day of creative work and make your way to RIZ from your hotel/accommodation.
8:30am – 10:45pm __Work session 3 – grab a desk and gets to work on your project.
11:00am – 12:30pm __Workshop – Character Development with Melinda Salisbury. This is a hands-on, participatory 1h workshop with Q&A. OR Illustrator Track: Scrawl Crawl in Radolfzell with Sanne
12:30pm – 2:00pm__Lunch break. We’ll either head out for lunch or have the location prep snacks for us.
2:00pm – 5:30pm __Work session 4 – back to the desks right away or a quick walk to air out. Then back to work! Melinda will conduct the 1-on-1 sessions in the afternoon with those who have opted for Manuscript Feedback.
6:30/7:00pm__Dinner with the group in town – location #tbd.

Sunday, May 7th

pre 8:30am___Get ready for a day of creative work. Check out of hotels/AirBnBs and such and meet at RIZ for our final work session.
8:30am – 1:30pm __Work session 5 – back to the desks for more work on our projects.
12:30pm – 1:00pm__Check-out. It’s time to wrap up a hopefully very productive weekend and make our way back home.


Additional Costs: please note that the region will handle the event location and conference flat fees (for Friday only). There will be additional costs for travel, hotel, cab/taxi, dinner/lunch on other days. You will need to pay that on site yourself.

Accommodations for this retreat. 
This retreat’s location is not connected to any hotel. Therefore, the region will not provide or manage rooms for you. If you are attending the 2-days or 3-days event, you need to find accommodation. There are several hotels in Radolfzell as well as holiday homes and Airbnbs for rent.

If you would like to room/share with someone, please check the region’s Discord server. On there is the Retreat Channel, where you might find people who are looking for roommates as well.


Registration and Cancellation Policy
Registration is open now and will end on April 27th 2023.
Once you are registered for the event, you may cancel your registration free of charge up until April 20th.
You will get a 50% refund if you have to cancel between April 20th and April 27th. No refunds will be paid after April 27th.


Covid Policy:
You are required to show a negative ‘Schnelltest’ of the same day you join the event (for 3-days event on Thursday night or Friday morning; for 2-day event on Friday night or Saturday morning).
The region will provide a Lateral Flow Test for everyone for Friday and Saturday. Please snap a picture of the result and have it ready before meeting with your fellow creatives for the day so that we can work in the same room without masks.
We will not require proof of vaccination.

I will put you on the waiting list. Left-over slots are available to non-members after April 16th. I will notify you if that’s the case. Please note that you need to have your submission ready to go for the April 18th deadline.)

The SCBWI Anti-Harassment Policy
The SCBWI Anti-Harassment Policy
To register for an SCBWI event, you are required to acknowledge our Anti-Harassment Policy.

The Society of Children’s Book Writers and Illustrators (SCBWI) is dedicated to providing a safe and harassment-free environment for all of its members and will take any and all necessary steps to address and prevent harassment at events associated with SCBWI. Harassment under this policy may include verbal comments, written comments, displayed images, or behaviors such as intimidation, stalking, body policing, unwelcome photography or recording, sustained disruption of talks or other events, inappropriate physical contact, unwelcome sexual attention or advances, and bullying or coercion. 

The SCBWI Member Anti-Harassment Policy applies to all situations of harassment or intimidation at any SCBWI Event. An “SCBWI Event” is any event, meeting or activity that is authorized by an SCBWI Regional Manager to be sponsored by, or affiliated with, SCBWI. SCBWI events may include, if properly authorized by an SCBWI Regional Manager, the Annual Summer Conference in Los Angeles, the Annual Winter Conference in New York, regional conferences, meetings and meet-ups. This SCBWI Member Anti-Harassment Policy also applies to “SCBWI On-Line Interactions,” which include Zooms, Webinars, online meetings, communications and content posted on, or directed towards, SCBWI’s Social Media accounts or sent through any of the communication tools available on SCBWI’s website, www.scbwi.org. SCBWI’s Social Media accounts under this policy include the official SCBWI accounts on Facebook, Instagram, Twitter, Pinterest, Tumblr and LinkedIn.

 

Code of Conduct

All participants in SCBWI Events and SCBWI On-Line Interactions, including faculty, volunteers, staff, and attendees, are required to comply with the following anti-harassment code of conduct. The SCBWI Anti-Harassment Policy prohibits harassment, including but not limited to the following behaviors:

  • Intimidation, stalking, or following;
  • Sustained disruption of talks or other events;
  • Unwelcome sexual attention or advances;
  • Abusive verbal comments;
  • Quid pro quo– sexual harassment that occurs when one in an authority position requests sex or a sexual relationship in exchange for professional consideration or favors;.
  • Harmful or prejudicial verbal comments, written comments, or visual images related to gender, sexual orientation, ethnicity, race, religion, socio-economic status, disability, age, appearance, body size, or other personal characteristics;
  • Inappropriate use of nudity and/or sexual images
  • Unwelcome or uninvited attention or contact
  • Physical assault (including unwelcome touching or groping);
  • Real or implied threat of physical harm;
  • Real or implied threat of professional or financial damage or harm;
  • Body policing, unwelcome photography or recording;
  • Doxing
  • Harassment does not include respectful disagreement or reasonable and respectful critique made in good faith. SCBWI continues to welcome and appreciate presentation of appropriate controversial ideas, free speech, and creative artistic expression. SCBWI encourages members to hold one another accountable to the Code of Conduct as stated in this part of the Policy and to take the perspectives of others seriously when a disagreement arises.

We expect all participants at SCBWI activities, meetings, and networking events to abide by this Anti-Harassment Policy in all venues, including sanctioned events, ancillary events, unofficial events, and social gatherings.

 

Reporting Procedures

Any person who believes there has been a violation of the SCBWI Anti-Harassment Policy can report the offense in one or all of the following ways:

  • Certain SCBWI Events, including the Annual Summer Conference in Los Angeles and the Annual Winter Conference in New York, will designate one or more Safety Team Members who will be available during the conference to provide a safe space for members to report an incident. The Safety Team Member will report directly to the conference director or regional advisor in charge.
  • A complainant may submit a complaint under this policy to the Director of Community Marketing and Engagement, the Director of Illustration and Artist Programs and/or your Regional Manager.
  • SCBWI has a dedicated email address for reporting any potential incident of harassment under this policy. Anyone who chooses to report an incident can find the Anti-Harassment Report Form on the SCBWI website (About > Anti-Harassment) or use the following link: https://www.scbwi.org/anti-harassment-report-form/. Reports should include the substance of the complaint, date, and whenever possible, a list of witnesses or a reference to the relevant URLs, if the offense occurred through an SCWBI On-Line Interaction.

SCBWI will investigate all complaints subject to the SCBWI Anti-Harassment Policy. If the policy applies, SCBWI will investigate the matter and take whatever action is necessary and appropriate to prevent a recurrence and protect the environment at SCWBI Events. If a complaint is made anonymously, please note that SCBWI will not be able to follow up on an anonymous report with the complainant directly, as SCBWI will not have contact information for the anonymous complainant. Moreover, anonymous complaints may hinder SCBWI’s ability to investigate the complaint.  SCBWI will take steps to protect the confidentiality of the complaint, to the extent possible.  However, complete confidentiality may not be possible in all circumstances.  SCBWI will make every attempt to respond to a named complainant in a timely fashion.

If appropriate, SCBWI may report the incident to local authorities.

 

Non-Retaliation

The SCBWI Anti-Harassment Policy prohibits retaliation against a member of the SCBWI community for reporting harassment, intimidation or discrimination, or for participating in an investigation relating to any complaint made under this policy. The sanctions for retaliation are the same sanctions available to address any other violation of the SCBWI Anti-Harassment Policy.

 

Sanctions

SCBWI takes all allegations of harassment seriously. Complaints will be investigated by SCWBI if they fall within the scope of SCWBI’s Anti-Harassment Policy. Depending on the results of the investigation, SCWBI will determine whether a sanction is appropriate.

Sanctions for faculty, speakers, volunteers, staff or board members may include any of the following:

  • warning the party involved that the particular behavior is inappropriate and must be ceased;
  • immediate removal from a particular event;
  • denial of access to SCBWI spaces and venues on a temporary or permanent basis;
  • withholding of a contracted honorarium;
  • prohibition from future speaking engagements;
  • prohibition from future faculty appointments;
  • expulsion from SCBWI; and/or
  • removal from the Board of Advisors or Board of Directors, when appropriate.

Sanctions for attendees, members, and guests can include any of the following:

  • warning the party involved that specified behavior is inappropriate and must be ceased;
  • immediate removal from a particular event, without refund;
  • denial of access to SCBWI spaces and venues on a permanent or temporary basis;
  • termination of SCBWI membership, without refund; and/or
  • prohibition of future SCBWI membership.

If the conduct at issue involves one of SCBWI’s employees, SCBWI will utilize whatever corrective action is appropriate based on the result of the investigation and subject to SCBWI employment policies and practices.

 

Confidentiality

SCBWI will make every reasonable effort to conduct all investigations into allegations of harassment, intimidation, or discrimination in a manner that will protect the confidentiality of all parties and witnesses. Notwithstanding the above, confidentiality is not absolute, and those with a legitimate business reason to know and be informed of the allegations will be so informed. Parties to the complaint should treat the matter under investigation with discretion and respect the reputation of all parties involved.
